01Why traditional khata notebooks fail
Giving credit builds loyalty, but untracked credit quietly drains cash. The problem is rarely the customer. It's the memory-based system.
Balances live in one person's head or one notebook. Nobody notices a payment is overdue until it's very overdue, and asking for money feels awkward, so it gets postponed.
02Build a simple, automated credit system
Maintain one ledger per customer and supplier where every sale, payment, and advance updates a single running balance.
Set a credit limit per customer. Regulars get a higher limit, and new customers start low. The billing screen should warn you before the limit is crossed. Record the due date at billing time, not later.
03Automate reminders with a relationship-first tone
Automate the reminder. A polite message a day or two before the due date, and another after, recovers more money than an awkward phone call.
Keep payment history visible so you know who to trust with more credit. Reminders should remain factual and friendly: amount, invoice date, and a direct UPI link. Avoid aggressive threats, which cost more in lost customers than they recover.
04Track supplier balances & The Takeaway
Supplier balances matter equally. Knowing what you owe and when keeps your own credit line and goodwill with suppliers healthy.
Credit isn't the risk. Invisible credit is. When every balance is visible and every reminder is automatic, you can say yes to more customers safely.
